Automate website enquiries without creating duplicate CRM contacts
How to send website form enquiries into your CRM without duplicates: clean the email, search the CRM, then update or create. Works in Zapier, Make or n8n.

Sending website enquiries straight into your CRM means no lead sits unread in an inbox over the weekend. Done badly, though, it leaves you with three records for the same person, notes split between them and the same follow-up sent twice. Here is how to set it up properly, whichever automation tool you use.
Prices checked on the official pricing pages for Zapier and n8n on 13 October 2026, and for Make on 17 October 2026.
Why duplicates happen
The most common causes are:
- Create without search. The workflow creates a contact on every submission.
- Formatting differences. “Jane@Example.com ” and “jane@example.com” look like two people to many systems.
- Several entry points. The contact form, a booking tool and a newsletter sign-up all create contacts separately.
- Retries. If a step fails and is retried, the create step can run twice.
The pattern that prevents them
Whichever tool you use, the workflow should follow the same logic:
- Receive the enquiry, ideally by webhook so it runs instantly.
- Clean the data. Trim spaces and lower-case the email address. Format phone numbers consistently.
- Search the CRM for a contact with that email address.
- Branch:
- if found, update the existing contact and add the enquiry as a note, activity or deal
- if not found, create the contact, then add the enquiry
- Notify the team in email, Slack or Teams, with a link to the CRM record.
- Confirm to the enquirer that you received their message.
- Handle errors. If the CRM is unavailable, store the enquiry somewhere safe and alert a named person.
Some CRMs and tools offer a single “find or create” or “upsert” action that combines steps 3 and 4. Check your CRM’s documentation for what it supports.
Choosing a tool
| Zapier (zapier.com) | Make (make.com) | n8n (n8n.io) | |
|---|---|---|---|
| Billing unit | Tasks (each successful action step) | Credits (most actions use 1) | Executions (one full run) |
| Free option | 100 tasks a month, two-step Zaps only | 1,000 credits a month | Self-hosted Community Edition; cloud has a free trial |
| Entry paid plan | Professional from $19.99/month billed annually (750 tasks) | Core $12/month billed annually for 10,000 credits ($16 billed monthly) | Starter €20/month billed annually |
| Search then branch | Paths need a paid plan, according to Zapier | Routers, which use no credits | IF and Switch nodes |
A few points from the providers’ own documentation:
- Zapier: the Free plan only allows two-step Zaps, and Filters and Paths need a paid plan, so the pattern above needs at least Professional. Zapier says triggers and its built-in tools such as Formatter, Filter and Paths do not use tasks.
- Make: each search, create or update module uses credits, but Make says routers and error handlers do not.
- n8n: the whole workflow counts as one execution, however many steps it has.
Before you go live: a test checklist
Submit test enquiries and check:
- A brand new email creates one contact
- The same email again updates that contact, not a new one
- The same email in capital letters, or with a trailing space, still matches
- The team alert links to the right CRM record
- A failed CRM step alerts a named person and the enquiry is not lost
- Spam submissions are filtered or flagged
Data protection
Enquiries contain personal data. Keep only the fields you need, make sure your privacy notice covers the CRM and automation tool, and know where each tool stores data. Our AI and customer data checklist covers the questions to ask.
Cleaning up existing duplicates
If your CRM already has duplicates, fix the workflow first, then merge records. Most CRMs offer a merge or duplicate-management tool. Back up your data before bulk merging.

Good for
- Businesses getting enquiries from a website form, booking tool or newsletter sign-up
- Any CRM that can search contacts by email address
- Teams that want new leads alerted in email, Slack or Teams
Not for
- Very low volumes, where copying a few enquiries a week by hand is fine
- Setups with no one named to receive error alerts
