Checklist: turn on Xero's own invoice reminders
Before you build anything, use what Xero already includes. These steps follow Xero's help page on invoice reminders, checked 27 October 2026.
- Make sure every customer you want to remind has a current email address in your Xero contacts, and that you have the administrator or standard user role in Xero.
- Mark the invoices as sent. Xero only sends reminders for invoices marked as sent.
- Go to Sales, then Invoices, and click Invoice Reminders: Off.
- Tick Email customers when an invoice is. This turns on Xero's three default reminders for overdue invoices.
- Optional: add the button to the online invoice and a link to the PDF, so customers can pay from the email.
- Optional: set a minimum amount so tiny balances don't trigger reminders.
- Click Add reminder and choose due in for a friendly note before the due date. You can have up to five reminders.
- Edit each email. Keep the first polite and the last firm, and say how to pay.
- Click Save. Replies go to the login email of whoever turned reminders on. You can change this.
Still chasing the same customers after that? The invoices guide covers the next steps.
